Bilingual Client Services Representative/Production Coordinator (Full-Time Position)

Reporting to the Manager, Client Services, the Bilingual Client Services Representative/Production Coordinator will be responsible for managing client/customer requests and marketing campaign support to over 1,000 retail locations nationwide and specialists. In addition, the CSR/Project coordinator will work with project teams, logistics, transportation, sales, and other departments to coordinate workload and requests.

How You’ll Get Results

  • Respond to all incoming communications, inquiries and requests from store level and/or head office users. Check all information received from the customer for accuracy and completeness
  • Processing and aiding the fulfilment of client order requests.
  • Process orders from client’s internal supplementary portals and submit to the appropriate internal production teams
  • Provide support to warehouse & kitting, shipping
  • Provide updated reporting with all distribution materials in progress to project team
  • Investigate and resolve delivery issues to minimize and/or avoid impact on marketing campaign execution at store level
  • Focus on project management support for the team to ensure deliverables are met and client’s requirements are sourced in a timely and professional manner
  • Data control, tracking and reporting – collect data and data entry into MS Excel/Word; generate reports to review production volume and trends; create and implementing work documents
  • Document issues, and their solutions for future review and process improvement
  • Time management of work load to ensure quality delivery within production schedule
  • Investigate marketing campaign and delivery issues to minimize and/or avoid impact on the campaign program execution at store level
  • Co-ordinate all customer issues with the production planning department.

Additional Responsibilities may include:

  • Assist to train team members as required
  • Create and implementing work documents
  • Recommend process improvements
  • Assist with special projects/tasks and support overflow from specialists and internal team

Education

  • Post-secondary education

 Years of Experience

  • Minimum 2 years of customer service
  • Experience in print production and graphic arts an asset

Technical Knowledge / Expertise

  • French/English bilingualism is required
  • Strong attention to detail, and strives to ensure the overall quality of the team’s success
  • Highly organized with an ability to work independently, under tight deadlines and shifting priorities
  • Excellent interpersonal skills with a strong desire to share knowledge and work in a collaborative and collegial environment
  • Ability to handle multiple tasks simultaneously

Hours of Work

Sales Assistant/CSR (Full-Time Position)

Under the direction of the VP, Enterprise Sales, the Sales Assistant will provide support and co-ordination of our various market segments and sales activities. In this role, you will be assigned to specific accounts and/or Account Managers and will have direct and indirect revenue generating responsibilities.

How You’ll Get Results
This is the bridge between our customers and the Production Planning, this role will impact the final product they receive. The position has responsibilities to customers, to our Sales team, to our Manufacturing group, and to the company as a whole. It is responsible for the documented communication of customer critical issues such as changes to the delivery time frame and additional charges. This position also handles the administrative aspect of our order process, from estimating to invoicing, to ensure the timely processing of all of the documentation associated with a project.

MAJOR RESPONSIBILITIES:

  • Receive and co-ordinate all incoming orders and information, either through sales personnel, internal customers or directly from customers. Check all information received from the customer for accuracy and completeness.
  • Attend client meetings as required; receive all questions and concerns from external and internal customers.
  • Provide technical support between sales department and the client with inside personnel.
  • Responsible for the efficient flow of all customer changes, requests and ensuring that deadlines are met
  • Thorough knowledge of internal procedures and processes.
  • Responsible for the proper escalation of issues should customer expectations fail to be fulfilled.
  • Provide advice and recommendations on production process and follow up with Account Manager.
  • Confirming that all the information is available for an efficient processing of customer orders.
  • Co-ordinate all customer issues with the production planning department.
  • Accurate filing and tracking of customer files throughout the organisation.
  • Confirm flow of information between customers and external suppliers.
  • Ensure invoicing is done on a timely basis; all additional charges are documented and justified.
  • Support the quote request and order write up process in support of the Account Manager.
  • Responsible for communication work-back schedule to Account Manager, and updating of any changes.
  • Responsible for maintaining the customer database for assigned Account Managers.
  • Co-ordinate and schedule customer OKs and plant tours, when required.
  • Fully understand the print production process from prototyping to fulfilment and how to engage internal and external resources.
  • Gain a thorough knowledge and understanding of TI Group’s production equipment and capabilities
  • Supports team efforts and initiatives – participate in the on-going improvement of processes and methods
  • Take initiative, explore new methods, provide recommendations, share new ideas
  • Available for additional hours if need be and will do what it takes to get the job done
  • Arrange adequate coverage for your duties and responsibilities for any planned absence i.e. holidays

ADDITIONAL RESPONSIBILITIES:

  • Strong understanding of prepress methods (including colour management), finishing methods and requirements, other related manufacturing/fabrication, packaging and shipping.
  • Understanding of supporting technology – ePACE, creating/editing dockets, estimates, change orders, multiple dockets.
  • Advanced Project Management Skills – PMP (Professional Project Management) preferred.

Years of Experience:
Minimum 3 Years in a Print and/or Display Manufacturing / POP environment

Education:
Post-secondary education including college or university in the graphic arts

Qualifications/Experience:

  • Thorough knowledge of printing process and procedures.
  • Basic knowledge of the sales process; experience in sales and/or marketing.
  • Ability to deal with stakeholders at all levels, ability to cultivate relationships.
  • Ability to manage customer expectations and handle difficult customer issues in a manner that will ensure the continuation of a long-term relationship.
  • Exceptional computer skills, specifically in the use and application of MS Word/Excel and related software.
  • Solid working knowledge of all production equipment and processes in POP and POP finishing, distribution, and POP fulfillment.
  • Strong understanding of prepress methods (including colour management), finishing methods and requirements, other related manufacturing/fabrication, packaging and shipping.
  • Understanding of supporting technology – ePACE, creating/editing dockets, estimates, change orders, multiple dockets.
  • Project Management Skills – PMP (Professional Project Management) certification preferred.
  • Understands prepress methods / MAC
  • Proficient in Adobe Acrobat, Photoshop, Illustrator, InDesign, Microsoft Office (Word, Excel, PowerPoint).
